Description
Whiting Services focuses on the inspection, servicing and modernization of overhead cranes and railcar lifting equipment is seeking an Administrative Assistant to support our Birmingham Regional Branch Office. 

Duties include:
  • Create and maintain customer job folders for all job related documents. 
  • Open new jobs in Quickbooks according to customer purchase order, contract or signed proposal.
  • Provide Technicians with daily work order/time sheets as directed by the Service Manager instructions and coordinate and monitor/track shipping.
  • Monitor quote worksheets for accurate labor rates/hours, travel costs, rental costs and purchased materials, reporting any significant deviations from the original job specifications or scope of work changes.
  • Update data in Quickbooks as necessary to reflect changes in job scope.
  • Monitor all open jobs for status and coordinate with the Service Manager for invoicing to the customer. Invoicing is to be done as needed, but at minimum on a weekly basis to maintain company cash flow requirements. 
  • Responsible for determining job closings as needed in coordination with the Branch and/or Service Managers. Includes notifying Corporate Finance team of job closings list on a monthly basis. 
  • Other duties as assigned.
 
Job Requirements:
  • High school diploma or GED required; an associates degree (business related) preferred.
  • Solid working knowledge of Microsoft Office and Quickbooks.
  • Strong written and verbal communication skills
  • Ability to multi-task as a team member in a fast paced environment
